Getting started

What is Ulat?
Ulat is a gradebook built for Philippine grading systems. It handles transmutation tables, 1.00 to 5.00, letter, GPA and percentage scales, DepEd quarters and college terms, INC, and automatic sharing with students and guardians. It also fills official DepEd forms, checks bubble-sheet exams from photos, and turns records into badges and XP for students. Instructors work on this web app, while students and guardians use the Ulat mobile app.
How do I create my account?
On the sign-in page choose “New here? Create an account”, enter your name, school and email, and set a password, or use Continue with Google. Instructor accounts are free. The Free plan covers 2 classes, and every new account starts with a full Pro trial.
Can I sign in with Google?
Yes, on both the web app and the mobile app. Google sign-in matches by email, so if you already registered with a password on the same address, both ways open the same account.
Is there a walkthrough of the app?
Yes, two kinds. A 2-minute guided tour starts on your first visit and can be replayed anytime from the account menu (your initials, bottom-left) → Replay the tour. Each page also keeps its own short guide behind the ? button in the header. It opens once on the page's first visit, and tapping the ? brings it back anytime, which is worth doing once real scores are in, since the guide walks your live class rather than examples.
Which devices does Ulat work on?
The instructor web app works on any modern browser, and is best on a laptop or tablet. On phones the sidebar tucks behind the menu button. Students and guardians use the Ulat mobile app on Android and iPhone, and instructors can sign in there too, which is where live answer-sheet scanning with the phone camera lives.
Is Ulat a registered business?
Yes. Ulat is operated by Ulat Software Development Services, registered with the Philippine Department of Trade and Industry under Business Name No. 8502298 with national scope, and with the Bureau of Internal Revenue under TIN 480-293-557-00000.

Classes, rosters & joining

How do I create a class?
Click + New in the sidebar. The 4-step wizard asks for class details (code, section, term, schedule), the grading system, the student list, and a final review. Everything can be changed later in Settings.
How do I import my class list?
In the wizard's Students step (or the Students page later), upload a CSV, XLSX, TXT, or even a PDF class list. Ulat reads Student No. or LRN, Last name and First name columns. A single “Last, First M.” column also works. Rows with problems are highlighted for one-click fixing.
Can I start a class with no students?
Yes, but note that students can only link their accounts once their name and student number or LRN are on the roster. Add them anytime in Students, or project the class QR and add names as they come in.
How do students join my class?
Every class has a join code and QR that become active the moment the class is created. In front of the class, open Settings → Project QR. It fills the screen with a giant QR and the code. A student scans it, creates an account in the mobile app, and enters their student number or LRN, and Ulat matches them to their roster row. You then approve the request from the Sharing page, so nobody can claim a classmate's slot, and they only ever see their own grades.
Where is the “Project to screen” button?
Settings → “Class code for joining” → Project QR. The code only works once the class exists, which is why the button lives in the class's own Settings rather than in the creation wizard.
Can I archive a class?
Yes, in Settings → Archive. Archived classes stay one click away in the sidebar (Show archived) with all data intact, and don't count toward the Free plan's 2-class limit.
Can a co-teacher help me grade?
Yes, on Pro (and during the trial). In Settings → Team teaching, invite a co-instructor and scope which grading groups (e.g. Laboratory) they can grade, and whether they can take attendance or manage students. Co-instructors already on a class keep their access whatever happens to the plan.
I teach the same subject to another section. Do I rebuild everything?
No. On a DepEd class, Settings has a Duplicate card. Pick the grade, type the section, and the copy carries the whole grading system, periods and schedule with a fresh roster and an empty gradebook. Students and scores are never copied.

Grading systems & computation

Which grading systems are supported?
Percentage, 1.00–5.00 (and 5.00–1.00), letter grades, and GPA scales, each with an editable transmutation table, passing mark, and at-risk band. Presets cover the common Philippine university setups, and everything is editable in Settings.
How are grades computed?
Each assessment belongs to a component (Quizzes, Exams…) with a weight. Component percentage is points earned over points possible within that component, and the weighted components make the period percentage, and the transmutation table turns it into the shown grade. Grades update live as you type.
How does the Term grade work?
Two methods under Settings → Term grade. Average takes the weighted average of period grades, with editable weights. Cumulative runs one computation across all assessments to date.
What makes a student INC?
A missing major requirement, typically an ungraded or missed exam, marks the student INC instead of a number. Record the score (or excuse it) and the grade computes normally.
What does a “Locked” period mean?
Closing a period in Settings → Term grade locks its grades. Cells become read only and the period is labeled Locked. Reopen it anytime to make corrections.
What does “At risk” mean exactly?
A student whose period grade is within the at-risk band (default 3 percentage points) above the passing mark. The band is editable in Settings.

DepEd forms & MAPEH

Which official DepEd forms can Ulat fill?
A subject class on a DepEd grading setup exports the official e-Class Record workbook (single subject, the combined MAPEH one, or the Senior High record for Grades 11 and 12) and the quarter grade pack for your adviser. Advisers export the rest from their Advisory pages, the SF2 daily attendance report, SF9 report cards including the Kinder and Grade 1 progress reports, SF10 permanent records and the SF5 pack. Ulat writes your data into the official files themselves, so the printed output is exactly what the division expects.
How does MAPEH pairing work?
MAPEH is one form covering two classes, Music & Arts and PE & Health, often taught by two teachers. In Settings, the pairing card lets one teacher mint an invite code for their half. The co-teacher enters that code on their own class and the two classes connect. Connecting shares both full records with each other, so either teacher can export the complete MAPEH e-Class Record, and either side can disconnect at any time. EPP/TLE taught as two components works the same way, pairing the ICT class with the class covering AFA, FCS and IA across the terms, and the per-component form combines them at 25 and 75 percent.
My MAPEH co-teacher is not on Ulat. Can I still export?
Yes. An unpaired Music & Arts or PE & Health class gets a “your half” option in the Export menu. Ulat fills your subject's tabs in the official MAPEH workbook and leaves the other subject's tabs blank. Hand the file to your co-teacher to complete in Excel, and the workbook computes the combined MAPEH grades by itself once both halves are in.
Will the exported MAPEH form show the same grades as the app?
Yes. The workbook Ulat exports carries the same DepEd Order 15 adjusted transmutation table the app uses, and its exam columns follow your class's own exam component weights, so the form recomputes from raw scores exactly what the app shows when it opens in Excel. The form rounds each percentage score to two decimals the way official worksheets do, so a learner sitting right on a band edge can very rarely land one point apart.
What blocks an e-Class Record export?
The official workbook needs every learner's sex for the male and female blocks, every score entered, and no unresolved excused marks, so the export lists what is missing and points you to the right page. The combined MAPEH export additionally needs both rosters to match by LRN or name and both halves fully graded. If your co-teacher's half is the one unfinished, the export says so, and they finish it in their own class. A Senior High class additionally picks its subject from the DepEd course table in Settings, since the SHS record carries the subject's official units and term coverage.

Advisory & report cards

What is an Advisory in Ulat?
Your section as its adviser sees it, part of Pro. Create one from the Advisory section of the sidebar and you get a consolidated sheet per quarter with every learning area across the top, general averages and the honors list, attendance for the SF2, and the report card pages behind it. It works even if no other teacher at your school uses Ulat, since every column can be typed or pasted straight from Excel.
How do subject teachers send me their quarter grades?
Share your advisory's code once. A subject teacher on Ulat enters it in their class Settings, which links their class to your section, and each quarter they submit their grades with one click. You accept each column, and if a teacher's grades move after you accepted them, the cell shows a drift marker so nothing changes behind your back. Teachers not on Ulat just hand you grades and you type or paste them in.
Which school forms can an adviser export?
SF9 report cards on the official SY 2026-2027 layouts, including the Senior High card and the Kinder and Grade 1 progress reports, the SF2 daily attendance register, SF10 permanent records, and the SF5 and SF5A summaries. Export the whole section or a single learner, and your school, region and division details print where the forms expect them.
What are the comment suggestions on the report card?
Suggestions written from the learner's actual quarter grades, attendance and trend, in English or Filipino, never generic praise. Click one to use it, then edit freely. Nothing prints without the adviser choosing it.

Assessments & the gradebook

How do I add an assessment?
Open the Assessments page and fill the panel on the right with the component, period, total points and date. Numbering is automatic and restarts each grading period, so Midterms begins again at Quiz 1. Leave the name blank for “Quiz 3”, or type a topic like “Eco” and it saves as “Quiz 3 · Eco”. It appears as a gradebook column immediately and students see it in their Upcoming feed (with your coverage notes, if any).
Can a quiz double as my attendance check?
Yes. This is built for classes that do not call roll. When creating (or editing) an assessment, tick “Also counts as attendance”. A Missed mark counts the student absent for that day. Any recorded score, even 0, counts them present, since a student can be in the room and still score zero. These count into the attendance rate alongside regular sessions.
How do I enter scores fast?
In the Gradebook, click a cell and type. Tab, Enter and the arrow keys move between cells. E marks excused, M marks missed, and Delete clears. Red numbers are below passing.
What's the difference between Missed, Excused and empty?
Missed (M) counts as zero and shows in Missing work. Excused (E) removes the assessment from that student's computation entirely. Empty means not yet graded, so it doesn't count against the student.
Can I archive an assessment instead of deleting it?
Yes. Archiving removes it from the gradebook and computations but keeps the scores recoverable. The archive list sits at the bottom of the Assessments page.
How do I handle a make-up or retake?
Create the make-up as its own assessment, then open the original exam's analysis panel and set its Make-up link. Learners who failed the original carry it as a boss fight in their app, and passing the linked make-up defeats it. Without a link, their next passing score in the same component clears it instead, so a make-up is encouraged but never required.

Answer sheets & exam analysis

Can Ulat check multiple-choice exams for me?
Yes. Tick “Use a printed answer sheet” when creating the exam, fill in the answer key from its detail panel, and print the sheets. After the exam, photograph the pile and drop the photos on Scan photos in the exam's analysis panel, or scan live with the phone camera in the Ulat mobile app. Each sheet is matched to its learner, checked against your key, and the score lands in the gradebook with a review overlay showing exactly what was read.
What do the printed answer sheets look like?
One bubble sheet per learner, already carrying their name and number, so there is nothing to shade for identity and no sheet can be claimed by the wrong student. Print portrait with one per page or landscape with two, on A4, Letter or Legal, plus spares for transferees and lost papers. Reprint anytime for a single learner or spares only.
My exam has a written part too. Can it still be scanned?
Yes. Set how many items are bubbled and the rest of the total stays a written part you score by hand. Scanning fills the bubbled portion, you type the written points, and the gradebook carries the combined score.
What does the Exam analysis panel show?
For any assessment, the MPS block your department asks for and the score distribution. Once per-item responses exist, typed in or scanned, it adds classic item analysis with difficulty, discrimination and each item's distractor breakdown, and items that fewer than half of examinees got right list as least mastered with a space to note the skill to reteach. The whole analysis exports as a report for the department head.

Attendance

How do I take attendance?
Attendance page → Start today's session → mark the class in one pass (Present / Late / Absent / Excused). Sessions can also be created for past dates.
How does attendance affect grades?
An absence on the day of an assessment automatically marks that assessment Missed for the student (same group, lecture or lab). If they show up later with an excuse, restore it within 30 days and the mark clears.
How is the attendance rate computed?
Non-absent sessions ÷ counted sessions. Excused absences are left out of the denominator entirely, and Late still counts as present for the rate. Assessments flagged “counts as attendance” are included, with a Missed mark counting as absent and any recorded score counting as present.
Why does the Overview flag students below 90%?
Missing more than 10% of class time is the research-validated early warning threshold. Students past that line fail courses at sharply higher rates. Ulat surfaces them before the grades show it.

Analytics on the Overview

What is “Class performance over time”?
The class mean score for every graded assessment, in date order, with the passing line drawn in. Hover a point for its mean, pass rate and date. Red points are below passing. A falling line says the material got harder or the class is slipping, before period grades reveal it.
What is “Path to passing”?
For every failing or INC student, Ulat simulates the remaining ungraded work in the current period and reports what it would take. Reachable needs a stated average on the remaining work. Stretch needs above 90%. Out of reach means even perfect scores fall short, which calls for a conversation about the next period, retakes or INC handling.
What does D (discrimination) mean in Assessment diagnostics?
The classic item analysis check. It compares your top 27% of students with the bottom 27% on that assessment. Strong (≥0.40) means the assessment separates mastery well. Weak, below 0.20, means everyone scored alike. It was too easy, too hard, or measured something other than the course material. Review it before reusing it. This is the same index used in professional test analysis (Ebel's thresholds).
How do I read the Attendance × grade quadrant?
Each dot is a student, placed by attendance (across) and grade (up), split at the 90% early-warning line and the passing mark. Q1 on track · Q2 passing despite absences, watch for coasting · Q3 absent and failing, involve the guardian · Q4 attends but failing, coach the subject. Click a dot to open the student.
What is “Spread σ” on the grade distribution?
The standard deviation of period grades. A small σ means the class moves together. A large σ means very mixed mastery, so consider grouping, a differentiated review, or peer tutoring.
What is the Grading backlog?
Past-dated assessments that still have unscored students. Students see “pending” for these, and the card takes you straight to the right gradebook column.

Students, guardians & sharing

What do students see in their app?
Their own grades and standing, never classmates', plus attendance, upcoming assessments with your notes, and, if the class shares them, missing work and your remarks. The Shared view tab on any student shows you exactly what they see. Their phone also reminds them 3 days and 1 day before each upcoming assessment, carrying your coverage notes, as long as they allow notifications and open the app now and then.
How do guardians get connected?
Two ways. A student sends their guardian an invite from the app, by QR or share sheet. That links the guardian account-wide, covering all current and future classes. Or you invite a guardian directly from the Sharing page for one roster row.
What do guardians see?
Grades and attendance always. Missing work and your Remarks only if the class's sharing policy allows them. Set the policy once per class on the Sharing page and it applies to every guardian automatically. Their phone also reminds them before each child's upcoming assessments, named per child, the same 3-day and 1-day nudges students get.
Can I nudge a student to add a guardian?
Yes. The Sharing page has a nudge that appears in the student's app asking them to connect a parent or guardian.

Badges, XP & levels

How do students earn badges, XP and levels?
Everything derives from your records automatically. Scores, attendance and closed periods earn badges, every recorded score pays XP whatever the grade, and XP climbs a ladder of 11 levels with Filipino names. There is nothing for students to submit and no way to farm it, and automatic awards are never taken away even when records later change. The full guide lists every badge and rule: How awards work.
What is a boss fight?
A score below the passing line on an assessment shows in the student's app as a boss to defeat instead of just a bad number. Where you checked item by item, the boss names the exact items to review. Passing the make-up you link from the exam's analysis panel defeats it, and without a link their next passing score in the same component does. Every defeat pays the Boss Down badge, and excused or missed work never spawns a boss.
What is a class quest?
A cooperative goal you start from the Assessments tab, while creating an assessment or on one that already exists. Everyone passes an assessment, everyone turns it in, or the class average reaches a target you set. Passing and averages are judged the same way your gradebook shows them, and progress moves live in the Gradebook. Excused learners never count against the class, and when the quest completes, every learner on the roster earns the Quest Clear badge, because being part of the class that made it is the achievement.
Can I give awards myself?
Yes. Four Teacher's Choice badges, Great Effort, Most Improved, Helping Hand and Leadership, exist for the things records cannot see. Grant them from a student's Awards tab on the Students page, each badge once per learner per day with no other limit. These are also the only awards you can take back, and the XP follows automatically either way.
Do badges and XP ever reset?
Badges and trophies never reset, they stay in the trophy case for good. XP and levels run in seasons so every learner starts fair, one season per DepEd school year, and one per semester, trimester or midyear term in college and Senior High. A finished season keeps its reached level in the student's history, and a career XP line shows everything earned across seasons.

Plans, billing & referrals

What's free and what's Pro?
The Free plan covers 2 active classes with full grading, attendance, sharing and analytics. Pro costs ₱199 a month or ₱1,199 a year and adds unlimited classes plus the registrar format export. Every new account starts on a full Pro trial.
What happens when my trial ends?
Nothing is deleted. You keep full access until the term finishes (grace period), then the account moves to Free. Pick the 2 classes that stay editable. The rest become read only, with viewing, exports and student and guardian access continuing.
How do I pay?
Open Plan & billing, choose monthly or yearly, then pay by card, Maya, GCash, GrabPay or QR Ph. The wallet options are yearly only and never renew automatically. Your billing summary and payment confirmation are on the Payment documents page.
How do referrals work?
Share your link from the Referrals page when registration and payments are open. Both instructors need verified emails. Their first yearly payment with a cash contribution earns you ₱199 credit after 14 days, even if they previously paid monthly. One reward per referred instructor. Refunds or confirmed disputes cancel the reward. Credit never expires and cannot be cashed out. Track pending, credited and reversed rewards on the Referrals page.

Account, data & security

How is my students' data protected?
Ulat stores the minimum. No student emails or contacts exist until a student registers themselves. Everything travels over HTTPS, passwords are hashed, students see only their own records, and remarks are stripped server-side for anyone not entitled to them. The database is backed up every 6 hours off-server.
I forgot my password.
Click “Forgot password?” on the sign-in page and enter your account email. We send a link that works once and expires in an hour. Setting a new password signs you out everywhere. If the email never arrives, check spam or write to [email protected] from your registered address.
Why should I verify my email address?
After sign-up we send a confirmation link to prove the address is really yours. Verifying makes sure password resets and account notices reach you and not a mistyped inbox. The app stays fully usable while unverified, and you can resend the link any time from the reminder bar under the header. The link stays valid for 7 days.
Can I export my data?
Yes, any time. The Export menu produces XLSX gradebooks in several scopes, including a registrar format on Pro, plus per-student PDF grade reports. DepEd classes add the official e-Class Record and quarter pack, advisers add the SF forms, and the exam analysis exports its own report.
How do I contact support?
Email [email protected]. We reply within one working day, and Pro subscribers get priority.
